You study and monitor the financial and administrative guidelines of the financing authorities. Your follow-up and advice is invaluable to our project managers. You ensure the successful reporting on research projects.

As a growing research institution, we are looking for a Financial Project Administration Officer. You take care of the financial administrative follow-up of research projects, from the moment the contract is signed up to the final settlement of accounts.

Job description

You manage the project financing of the projects subsidised by Flemish, European and other funds and streamline the contract management process at Flanders Make. You make project funds available internally and monitor spending in accordance with the underlying contracts. You guarantee high-quality periodical financial reports and support the audits of controlling authorities.

Responsibilities

  • You take care of the complete file management of our project loans;
  • You assess the contract at the onset and make project budgets available so that the researchers and project managers can initiate the necessary expenditures;
  • You guide the project manager in the correct and optimal use of funds, based on the conditions and cost model of the financing Flemish, federal, European and international authorities, institutions or companies;
  • You take the initiative for regular consultations with the project manager to monitor the progress of the research project and, in doing so, watch over the administrative and financial process;
  • You are responsible for the periodical and final reporting in accordance with the regulations of the financier;
  • You handle the debt claims to and from partners;
  • You prepare audits that are performed by subsidising bodies;
  • You substantiate the turnover and provide explanations for the statutory audit. You keep up with your technical knowledge concerning the project's cost models;
  • You actively contribute to an efficient contract management process at Flanders Make, propose optimisations where possible and strive for automation.

Profile

  • You have a financial background, and can present at least a bachelor’s degree in business management or accounting;
  • You have strong analytical skills and a critical mind;
  • Accuracy is high on your list of priorities;
  • You like to work independently and can set your own priorities, with respect for procedures and deadlines;
  • Experience with the financial management of Flemish and/or European subsidy projects (Vlaio, Horizon 2020, ERDF, Interreg, ...) is a plus;
  • You act proactively;
  • You are customer-oriented and flexible when needed,
  • You are a strong communicator, able to provide information and explanations with a professional attitude and a touch of assertiveness;
  • You have a very good knowledge of Dutch and English.
