Executive Assistant

Administrative support of our Executive Vice President of Worldwide Strategic Partnerships of IMEC located in San Francisco, working out of our HQ in Leuven keeping the connection between imec Belgium and USA.

What you will do

In this job, your responsibilities are:

  • Manage the agenda and coordinate the activities of the EVP and ensure efficient planning of the activities.
  • Coordinate and organize internal & external meetings, conferences, business lunches, conference calls, business travel, project events, team events etc.
  • Support the external teams of imec business (US and Asia) on setting up meetings with partners of IMEC and scheduling.
  • Support the Business team of imec on coordination between teams with different functions and different locations.
  • Provide communication with various internal and external contacts, also keeping the connection between imec USA and Belgium.
  • Help with overflow of work with other admin team in the Business group should it be needed and work as a team.
  • Manage and monitor the incoming and outgoing correspondence.
  • Perform various operational and administrative tasks (stock management of office supplies, desk and pc allocations) for the sales team.
  • Execute confidential tasks and handle confidential information in a diplomatic way.
  • Accompany important business clients, both externally and internally.

Who you are

  • You have a bachelor’s in office management and experience in a similar job.
  • You are flexible and when needed willing to accommodate your schedule to US West Coast.
  • You have excellent organizational skills.
  • You can multi-task and prioritize efficiently; you are stress resistant.
  • You are a team-player but are also able to work autonomously and take initiative.
  • You have excellent communication skills.
  • You have the technical competences to work with Microsoft office (Outlook/Word/ PowerPoint/Excel), Adobe Acrobat Internet explorer, Sharepoint, One Drive, Skype for business, Webex.
